Description of Board Positions/Duties
President:
The duties of the President shall include, but are not limited to:
- Call, set agenda for, and preside at all Board and membership meetings.
- Appoint standing and ad hoc committee chairs in conjunction with the corresponding Vice President and with board approval.
- Present an annual report to the membership at the annual conference.
- Represent SoDakSACA in professional and public settings.
- Attend all Board and membership meetings.
- Act as ex-officio member of all committees.
Advisor:
The duties of the Advisor include, but are not limited to:
- Preside at all meetings in the president’s absence.
- Act as a resource person for the Board and all committees.
- Perform other duties as requested by the President/Board.
- Attend all Board and membership meetings.
- Supervise the annual audit.
VP for Governance-Secretary:
The duties of the Governance Vice President (Secretary) shall include, but are not limited to:
- Record and distribute minutes of all Board and membership meetings.
- Prepare correspondence at the direction of the Board.
- Distribute notices of upcoming meetings.
- Maintain Board business and legal records.
- Process membership applications & maintain up-to-date membership list.
- Act as custodian for all records, except the financial records.
- Attend all Board and membership meetings.
- Oversee Bylaw & Procedures Committee, Personnel Committee, Nominations Committee, and other ad hoc committees as requested by the President/Board.
VP for Financial Management-Treasurer:
The duties of the Financial Management Vice President (Treasurer) shall include, but are not limited to:
- Receive, deposit and disburse all funds in a timely manner.
- Maintain accurate and complete financial records including bank accounts.
- Pay creditors promptly when bills are approved for payment.
- Develop an annual budget with the Finance Committee.
- Attend all Board and membership meetings.
- Oversee development of annual financial reports including reports of income, expenses, investments, & balances.
- File any federal or state tax forms required.
- Oversee the Finance Committee, Resource Development Committee and other ad hoc committees as requested by the President/Board.
VP Professional Development:
The duties of the Professional Development Vice President shall include, but are not limited to:
- Attend all Board and membership meetings.
- Oversee the Conference Committee, Training Committee, Program Improvement & Accreditation Committee, & other ad hoc
- committees as requested by the President/Board.
VP for Member Relations:
The duties of the Member Relations Division Vice President shall include, but are not limited to:
- Attend all Board and membership meetings.
- Oversee the Membership Committee, Communication & Information Committee, Public Policy Committee and other ad hoc committees as requested by the President/Board.
- Is responsible for gathering information for, & format & layout of the quarterly newsletter; SoDakSACA brochure (with assistance from CCS, if needed)
Regional Reps:
The duties of the Regional Representatives shall include, but are not limited to:
- Attend all Board and membership meetings.
- Act as liaison between SoDakSACA and their local/regional Out of School Time programs.
- Rotate organizing the “Day-at-the Capitol”
- Serve on at least one Standing Committee.
